How to access Newcastle University email from external email clients
This post will change and be updated as new information comes out, to hopefully be as up to date as possible. The post date will be incremented accordingly.
The situation
As of July 2022, NUIT have been distributing emails warning of changes to how some email/calendar clients may have their access disrupted. To quote an email from 18/07/2022 09:10:
You may find access to your email and calendar disrupted from this date. To prepare for this change, please read the information that has been published on the NUIT website: https://services.ncl.ac.uk/itservice/core-services/email/email-auth-changes/
NUIT have archived their page which allows for access to the email, via external clients: https://services.ncl.ac.uk/itservice/core-services/email/other-clients/
NUIT’s current solution
NUIT recommend the Microsoft Outlook app, or going to the web client at https://office365.ncl.ac.uk.
Other clients
The thing is, NUIT didn’t stop supporting other email clients. It’s just that Microsoft started requiring better authentication, and some apps can’t use it. If you like your email client of choice, and want to keep using it, you may be able to, if it is able to authenticate using Oauth2. Here’s a table of clients and whether they support Oauth2 or not. Once you choose a client that does have Oauth support, you can set the client up in the following way:
| IMAP Settings | SMTP Settings |
|---|---|
| Server Name - outlook.office365.com | server name - smtp.office365.com |
| Port - 993 | Port - 587 |
| Username - userid@newcastle.ac.uk | Username - userid@newcastle.ac.uk |
| Connection Security - SSL/TLS | Connection Security - STARTTLS |
| Authentication Method - Oauth2 | Authentication Method - Oauth2 |
